What Is a Softphone?

A softphone is software that places and receives phone calls over an internet connection, replacing the physical desk phone with an app on a laptop, browser, or mobile device. For sales and service teams, the version that matters is the one embedded in the CRM, so calling and record-keeping happen in the same place.

How Does a Softphone Work?

A softphone converts your voice into data, sends it over the internet through a VoIP provider, and converts it back on the other end. The phone number is provisioned by that provider rather than tied to a physical line, which is why the same number follows a rep between their desk, their kitchen table, and their phone.

Three pieces make it run:

 

  • A stable internet connection. Voice quality depends on consistent bandwidth far more than raw speed.
  • A provider account. The softphone authenticates against a carrier or platform that handles routing and call delivery.
  • An audio device. A headset with a decent microphone does more for call quality than any software setting.

 

Softphones show up in three forms: a standalone desktop app, a browser-based dialer, or a dialer built into the CRM itself. The first two make calls. Only the third connects those calls to the record the rep is working.
